Kotahi is New Zealand’s largest supply chain collaboration, founded by Fonterra and Silver Fern Farms to create a sustainable, secure export supply chain to support New Zealand as an export nation.
By collaborating with exporters and importers Kotahi has been able to use the pooling of cargo from over 40 companies to create value for customers and partners by optimising ocean freight and landside transport supply and demand.
Working together with logistics partners has enabled significant investments to take place, including port infrastructure, making it possible for larger ships to visit New Zealand.
Kotahi had an outdated, challenging and heavily customised Financial System, that had become a barrier to the introduction of new products and services. Its highly customised nature meant that it was difficult to upgrade and change and, as a result, advantages of new technology, streamlined business processes and reporting were not available to the business. Introducing new financial models was difficult without significant, costly and lengthy development efforts.
As part of a wider programme to modernise its Transport Management System (TMS) Kotahi made a strategic decision to rework its end-to-end processes and replace its financial system. Kotahi needed a finance solution that could be deployed rapidly, was easy to integrate with, could cope with relatively complex financial requirements while also giving them the power to grow and innovate in the future.

Enterprise system with integration to the MercuryGate TMS system in record time, completing migration and implementation of the new system in Microsoft Dynamics 365 online within three months from signing, and under budget.
The agile delivery approach provided the Kotahi finance team with clear visibility of progress, and the constant involvement allowed them to reduce training and improve day-one system use, making for a trouble free go live. It also allowed Kotahi to adjust their TMS project, enabling a more aligned and cohesive project delivery, ensuring the right thing was done in the right place, and keeping the applications focused on delivering what they did best without customisation.
Datacom delivered Accounts Receivable, Accounts Payable, General Ledger, Organisation Hierarchy with Consolidations, Cash and Bank Management, Credit and Collections, Bank File Integration (including Hashsum security measures) and used most of the “out of the box” reports to provide Kotahi key financial information needed to support their business.
With the introduction of Dynamics 365 Kotahi has been able to quickly realise a number of positive business impacts:
- Substantial improvements in credit collection, through the centralisation of Excel files and individual email inboxes into the Dynamics 365 credit and collection module.
- Simplified invoice processing improving throughput from the existing payment process.
- Improvements in cash, payment and supply chain transaction processing through a clear split between Kotahi’s TMS and Dynamics 365, enabling Kotahi to move people onto higher value activities.
